General Ledger System
The General Ledger System currently operates in a Windows full color, mouse "point & click" environment. The system provides a comprehensive financial accounting package.
Record Keeping
The system performs accounting tasks by month or by period. In periodic accounting, the system maintains the continuous flow of financial record keeping by generating a 13th month, which occurs after the month end closing for December (or the final month of the fiscal year). The extra period serves as a Tax Close-Out Period for auditor surveillance.
Transaction Processing
The General Ledger System groups each set of transactions (or batches) by automatically assigning transaction (batch) numbers. The system will establish, review, and update at any time on command during the recording cycle prior to posting. A Journal Source Code provides information on the type of each transaction for audit trail purposes. The system also automatically establishes, maintains, and posts Fixed Recurring Journal Entries.
Posting
Each time a transaction or batch is posted, the General Ledger System automatically defaults to debit or credit. The appropriate profit and loss accounts are updated immediately. The system also automatically posts all batches in the current accounting month by date for effective dates "on" or "prior to" the processing date.
Expense Matrix
The General Ledger System's user-defined expense or spread matrix eliminates the need for multiple account codes. It combines specific journal entries into one account for any number of expense matrix codes. A "window" provides quick access to all valid expense matrix codes, eliminating the need for paper lists.
Reports
Financial Reports and Lists are as current as the most recent entries posted. The General Ledger System creates reports for any requested period: this period, periods-to-date and this quarter for both the current year and the previous year, as well as the comparison of the two.
